JOB PURPOSE / ROLE:
To assist in the development of the facilities designs and projects for all KFH premises to ensure the optimal designs are attained and development of premises is achieved on time, as per set standards, profitably and effectively.
KEY RESPONSIBILITIES:
Facilities Management
- Assist in the development of the internal standards for design and construction materials to ensure that the design requirements are in place and aligned with the facilities set plans.
- Prepare and compile all the engineering drawings and designs to define the budget required for the establishment of new designs.
- Work closely with contractors on the various projects and constructions to ensure that the internal standards and requirements are implemented effectively.
- Coordinate with procurement team to conduct the required research for design consultants and select the most suitable expertise for the various development and design projects.
- Define the design requirements for concerned projects by collecting the required feedback to ensure that the requirements and standards are clear for the accurate implementation.
- Assist in the definition and recommendation of the optimal design based on the data collected for management approval to ensure the design is aligned with KFH’s image and standards.
- Coordinate closely with contractor to resolve problems as they arise and ensure the upgrade for the design when necessary.
- Follow up and oversee the construction of facilities and manage acquisition of licenses.
- Review payments to external consultants and contractors.
- Assist in preparing the annual maintenance plan and maintenance budgets by correctly assessing the requirements/status of all facilities maintenance at KFH.
- Ensure that the management and maintenance of building facilities by Facilities and Maintenance is conducted according to health, safety and environment (HS&E) regulations as stipulated by local law.
- Assist in identifying maintenance services to be conducted by external contractors and assist in the development of tender specifications; monitor the progress and quality of work executed by external contractors.
- Develop an updated space policy and manage the allocation of space in an efficient manner to ensure smart utilisation of space across KFH.
- Assist in conducting regular Space Audit to ensure all space is efficiently utilized as per the set policies and standards.
Continuous Improvement
- Contribute to the identification of opportunities for continuous improvement of systems, processes and practices taking into account ‘international leading practice’, improvement of business processes, cost reduction and productivity improvement.
Policies, Systems, Processes & Procedures
- Implement approved facilities and maintenance policies, processes, procedures and instructions to subordinates and monitor their adherence so that work is carried out in a controlled manner.
Statement and Reports
- Prepare facilities and design statements and reports timely and accurately to meet KFH and department requirements, policies and standards.
Quality, Health, Safety, & Environment
- Ensure that all relevant quality, health, safety and environmental procedures, instructions and controls are adhered to so that the safety of employees, quality of products/services and environmental compliance can be guaranteed.
- Ensure that the management and maintenance of building facilities is conducted according to Health, Safety and Environment (HSE) regulations as stipulated by local law.
