General Summary:
Serve visitors by greeting, welcoming, and directing them appropriately; notify company personnel of visitor arrival; maintain security and telecommunications system
Typical Work Activities:
- Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries
- Maintain security by following procedures; monitoring logbook.
- Notify company personnel of visitor arrival and ensure that the guests are attended to courteously
- Answer telephones; screen calls, forward calls and /or records and forwards messages accurately; Transcribe messages from telephone answering machine
- Take and deliver messages when appropriate personnel are unavailable
- Maintains safe and clean reception area by complying with procedures, rules, and regulations
- Receive and sort mail, deliveries and faxes; Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes; file correspondence and other materials as required
- Assist in the planning and preparation of meetings, conferences and conference calls
- Respond to general inquiries on GEC and deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail
- Ensure knowledge of staff movements in and out of organization
- Deliver excellent customer service, at all times
- Help applicants to post resumes on website or filling job applications manually, submit applications to the HR department
