• Provide administrative support to department staff on all administrative matters, including recording meeting minutes and following up on important internal and external meetings; perform ad-hoc reporting and other tasks as needed.
• Monitor, identifying, reporting and reconciling day to day petty cash expenses for the projects and department.
• Monitor, identifying, reporting and reconciling day to day attendance time sheet for labors/technicians and complete the necessary document following the company procedures.
• Attend internal meetings, take meeting minutes, maintain and distribute accurate minutes.
• Perform administrative duties including, but not limited to: maintaining organized files, and e-files; relaying/running documents, scheduling meetings, scheduling conferences, obtaining needed signatures on various documents, faxing, scanning and coping with coordination with department manager.
• Carry out necessary compilation of data, documents and analysis for projects and operation department.
• Assist, review, updates and implements changes to the projects as appropriate.
• Coordinate with the project engineer, track and prepare records to handle consultant submissions, delegate information and contracting documents, purchase orders and proposals.
• Coordinate with the project engineer required document for shipments, customs and clearances.
• Prepare and submit the necessary document for company qualification for different governmental entities.
• Working out the administrative works for tender documents and necessary related submittals.
