The Procurement Officer will support the Finance Team by taking the lead in the sourcing of key resources and suppliers in a controlled, strategic and cost-effective manner.
Detailed Job Description is provided below:
- Manage overall direction, coordination, and evaluation of procurement.
- Responsible to execute full lifecycle RFX processes such as performing all procurement and contracting activities including pre-qualification, tender management, negotiation and preparation of contracts.
- Work with senior Management to set policy and guidelines for delivering commercial and cost-effective procuring process for the business.
- Develop key relationships with business stakeholders and strategic supply partners to improve business.
- Negotiate contracts with suppliers to obtain best price and service.
- Develop and maintain tools to facilitate / automate procurement transaction processing.
- Under the guidance of Head of Finance, partner with GM / Heads of Departments / corporate sourcing teams to develop and maintain internal processes to ensure consistent quality and timeliness in service delivery.
- Prepare and maintain spend and project tracking databases.
- Establish and maintain mechanism for tracking financial and operational value of procurement efforts.
- Utilize knowledge of applicable spend categories, which may include Technology, F&B, FF&E, Utilities, Facilities Management, Office Services, or similar.
- Develop preferred vendor base by developing long term contracts for key services such as event operations, F&B and catering, event marketing, event security, cleaning, manpower services etc.
- Work in a highly collaborative manner, in a matrixed environment, to represent the procurement team with senior stakeholders and senior executives.
- Provide rigorous analysis of spend data and industry dynamics to prioritize and launch cost reduction initiatives.
- Work with cross functional teams to develop SLAs, KPIs and performance monitoring tools for the supply and service vendors.
- Support the Head of Finance to analyse business, financial, and legal risks and develop and communicate creative solutions and mitigation strategies for key negotiation points.
- Comply with audit, financial, and system requirements and assist in resolving post-execution nonstandard contract modification requests and disputes.
- To support budget and forecasting process.
