- Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
- Recruit and train personnel and allocate responsibilities and office space
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
- Handle Multiple projects and Manage schedules and deadlines
- Monitor inventory of office supplies, purchasing of new material with attention to budgetary constraints
- Maintain Supplies inventory from local & International supplies by checking stock to determine inventory level: anticipating needed supplies, placing and expediting orders for supplies, verifying receipts of supplies
- Monitor costs and expenses to assist in budget preparation
- Organize and supervise other office activities and Ensure operations adhere to policies and regulations.
- Keep abreast with all organizational changes and business developments
- Answer and direct phone calls pass them on & Maintain contact list
- Organize and schedule appointments
- Write and distribute email, correspondence memos, letters, faxes and forms
- Generate Reports & Assist in the preparation of regularly scheduled reports internally and to the client.
- Develop and maintain a filing system documentary and computerize
- Update and maintain office policies and procedures
- Order office supplies and Submit Expenses Reports
- Research and Create Presentation when required
- Prepare the monthly / Projects invoices and follow up the payment status
- Attend and handle the operations requirements when needed
- Carry out administrative duties such as filing, typing, copying, scanning, binding ...etc
- Organize & Arrange business trips
- Write letters and emails on behalf of other office staff
- cover the reception desk when required
- Handle sensitive information in a confidential manner such as the information of “Pricing, costing, tenders, payroll, overtime, project drawings …etc )
- Take accurate minutes of meetings
- Develop and update administrative systems to make them more efficient & resolve administrative problems
- Oversee and supervise the work of junior staff
- Maintain up-to-date employee holidays records and another HR requirement systematically.
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact between the client and back office
- Maintain and record the company assets
