- Ensure the adherence to the Tenders Department’s annual budget and ensure executing the required targets and responsibilities.
- Ensure implementation of the Tenders Department’s policies & procedures and follow up their implementation in order to achieve the department‘s objectives.
- Adhere to the overall Tender Process from reviewing information about demands to clarifying bid conditions and management of the tender preparation for the Furniture Business Division.
- Assist the Manager – Tenders in review of the Bills of Quantities.
- Assist in all activities related to the tendering process which includes (but is not limited to):
- Development of the RFI/RFQ/RFP documentation
- Classification of bidders
- Analyzing, reviewing and screening received quotations/proposals
- Recommending the best quotation/proposal as per set standards
- Obtain competitive bidding process including the generation of Request for Quotations (RFQ) / Proposals (RFP), as well as the receipt, opening, evaluation, selection and the custody of received bids.
- Seek Legal advice in the development of all documentations related to the contracts (i.e. RFI, RFQ /RFP, Contracts, etc.) and check for obligations, potential risks or liabilities on AAW and suggest mitigation strategies whenever needed.
- Play critical role is developing quotation(s)/proposal(s) evaluation criteria in conjunction with related departments in order to be utilized in the evaluation and selection process.
- Support the Manager- Tenders in: Attending bids, tenders and survey and identifying main competitors and identifying their strategies with regards to pricing as well as analyzing lost tenders and the main causes and provide recommendations thereof.
- Assist in managing the scheduling and running of proposal kick-off meetings, leading sessions, facilitating key review meetings, final document review, coordinate proposal governance/sign off, document productions and delivery of completed proposal
- Research & collate information while liaising with all internal departments on all areas of the business necessary to complete bids.
- Review tender alert notices daily and highlighting notices of division interest to the GM - Furniture.
- Co-ordinate and construct responses for specific high value or strategically important tenders, providing recommendations and advice on response content to relevant parties.
- Maintain and evolve systems and processes to optimise the efficient project management and production of tender submissions, including the development of relationships with key internal stakeholders required to support the tender process.
- Play a critical role in producing a pricing structure that will win the tender as well as produce a profit by the end of the project.
- Assist in developing a compelling proposal that will meet the requirements and stand out from other tenders.
- Update and maintain of Tenders Library and ensure that all submissions are updated in the Tenders Library.
Perform ad-hoc and other duties related to the job as assigned by the GM - Furniture
