Role and Purpose:
Responsible in answering all incoming telephone calls; satisfying customer inquiries in a courteous and efficient manner; arrange appointments and conduct pre and post service follow- ups.
Key activities:
- Receive guest inquiries either personally or through telephone and direct inquiries or telephone calls to the appropriate parties as necessary and determines if the inquiries can be handled by the receptionist and satisfy the customers’ reason for calling if possible.
- Conducts pre and post service follow up and assists the Service Advisors in contacting customers whose vehicles are scheduled for maintenance check-up or services.
- Answers all incoming service department calls according to company’s policies and good telephone etiquette and take the message or inquiries and route them to the concerned associates/ staff for resolution or mitigation.
- Assists the Service Advisors in contacting guests/customers whose vehicles have been serviced to inform them that their vehicles are ready for delivery or pick-up.
- Takes written message for occupied personnel and notifies them as soon as possible regarding pending issues or arranges appointments for the guests if the meeting does not takes place.
- Maintains a high standard of personal grooming, hygiene and safety and reports to management any situation or condition that could jeopardize the safety, welfare, integrity of the Branch, its employees and customers.
- Knowledge: Customer (Guest) and Personal Service: Limited knowledge of principles and processes in providing personal services to the customers. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- English Language: Basic knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
