Responsible for supporting high level executives and management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
RESPONSIBILITIES:
- Provides administrative and clerical support to departments or individuals.
- Schedules meetings and arrange conference rooms.
- Alert authorities about cancelations or new meetings.
- Manage travels and schedule.
- Handle information request.
- Prepare correspondence and emails.
- Arrange for outgoing mail and packages to be picked up.
- Prepare statistical reports.
- Greet and receive visitors.
- Prepare confidential and sensitive documents.
- Coordinates office management activities.
- Determine matters of top priority and handling accordingly.
- Prepare agenda for meetings.
- Helps prepare office budget.
- Plans events and volunteer activities.
- Maintain office procedures.
- Coordinate travel arrangements; prepares, compiles, and maintain travel vouchers and records.
- Operate office equipment, such as photo copy machines and scanners.
- Coordinates committees and task force.
- Relay directives, instructions and assignments to executives.
- Receive and relay telephone messages.
- Maintain the hard copy and electronic filing system.
- Sign and document the airborne packages and couriers.
- Follow up and represent GM and DGM with all contractors and suppliers.
- Communicating and dealing with other companies and organizations.
- Purchasing, cross checking of invoices and preparing analytical reports.
- Research on the needs of restaurants (Equipments, Kitchen wares, New trends,
etc.).
- Partnering with HR departments for recruitments and other activities.
- Preparing required reports from the management.
- Prepare memo content and submit with HR.
- Follow up with the departments on the works allotted by top management.
- Analysing work spaces in all branches and give reports.
- Contact and coordinate with external (foreign) suppliers.
- Carrying out clerical and administrative responsibilities on behalf of top management.
- Coordinates inter-departmental work projects and serves as a liaison between top management and company employees.
- Booking the business travel of top management which includes airline reservations, booking hotel rooms and arranging for rental cars.
