MAIN PURPOSE OF JOB
To ensure that VIVA’s fixed assets are maintained and internal controls are strengthened in accordance with company policies, international financial and accounting reporting standards in order to safeguard the company against any financial risk.
JOB OBJECTIVES
- Provide necessary recommendation related to the annual Capex expansion budget to support the management decision in line with the best interest of VIVA.
- Establish departmental accounting policies & procedures.
- Ensure that the department objectives are effectively communicated across the department and a line of sight is created between individual jobholders and the departmental / sector strategy.
- Define proper accounting treatments for unusual and complex transactions and present financial impact scenarios to support management decision. i.e. draft contracts and agreements.
- Plan, coordinate and implement a system for accurate reporting to safeguard VIVA’s fixed assets.
- Analyze construction-in-progress (CIP) projects and provide project specific reporting to track actual vs. budget.
- Ensure adherence to guidelines for acquisition, maintenance, retention and disposition of fixed assets and associated records.
- Manage fixed assets register in the financial system on a periodic basis (monthly, quarterly and yearly) to ensure transactions are effectively captured.
- Prepare and post journal entries necessary to effectively reflect additions and depreciation of fixed assets in the general ledger on a monthly basis.
- Reconcile fixed assets records in general ledger and rectify, resolve variances, as required to ensure no financial risk and gaps remain.
- Conduct disposal and replacement planning decisions based on remaining useful life, repair costs, severity of condition and total utilization of assets.
- Ensure significant inventory discrepancies are investigated and resolved, prepare reports on alleged theft, misuse of property or problems encountered in property management and write-off unrecoverable assets.
- Manage and direct scheduled closing procedures and ensure all applicable reports related to Fixed Assets are generated accurately.
- Create and update internal procedures related to the work flow for Fixed Assets and review and update the application work process.
- Work to improve employee performance through personal coaching and identifying training and development needs.
- Ensure Individual Development Plans (IDP) is completed for all staff in accordance with VIVA Telecom policy.
- Conduct annual performance appraisals (Performance Management System) and ensure set objectives are monitored and achieved.
