Inquiries:


  • Receiving inquiries by email and forwarding the inquiries to the concerned person.

  • Checking the availability of stock.

  • Preparing, sharing and later following up on the offer to client for Construction and Lumber division according to the rates given by the concerned managers.

  • Checking and following up for prices on items other then the Lumber required by clients from the local supplier by phone calls and fax, and oversea.

 


Orders:


  • Receiving the order confirmation.

  • Checking the price and terms and conditions of the order.

  • If everything seems perfect then preparing the delivery permit to the store, and if not to be checked with the clients.

  • Arranging for samples if required by clients.

  • Follow up with the deliveries with stores and clients.

Invoicing:


  • Preparing Invoice in excel for the Client.

  • Preparing Purchase orders for local and Overseas suppliers.

  • Follow up on Outstanding Payment by emails and phone calls to clients.

 


Debit Notes:


  • Preparing Debit notes to Supplier in case of discrepancies.

  • Follow up emails on Payment transfer or Credit note.

 


Letter of Credit and Document Collection:


  • Preparing L/C (new and amendments as per the Instructions) and follow up with banks. 

  • Follow up with Insurance company.

  • Forwarding the Swift copy to the supplier and filing the copy in file and submitting copy to the Accounts.

  • Upon receiving document arrival notice from the bank, and if we have received the copy of the documents from the supplier, promissory note and the bank letter should be prepared for collecting the documents from the bank and then follow up with the company representative.

  • Once received dispatch the documents to the concerned office by courier for clearance.

 


Research:


  • Researching the required information for the product online.

  • Researching for new enquires on the website KOC, KNPC, MEW and others.

  • Submitting Tenders.

 


Miscellaneous:


  • Answering phone calls and email communication.

  • Periodic update of offers sent and received.

  • Coordinating with other departments.

  • Follow up with company representatives. 

  • Coordination with Accounts division.

  • Dispatching Courier shipments.

  • Handling the responsibilities of colleagues in their offices during their absence / leave.

  • Ticketing/ Hotel Reservations/ Preparing documents for visa applications if required/ Coordinating with concerned embassy and airlines.
