Payroll Function:
1. Maintain employees’ payroll records; updates/enters salary elements, increments, and deductions in the Mystro Software.
2. Enter payroll data to detect and reconcile payroll discrepancies; verifies payment calculated before forwarding to Finance department.
3. Calculates leave and indemnity for existing employees and prepares the End of Service Benefits statements.
4. Receive and Review monthly time, attendance and leave reports to verify the accuracy of data-entry and resulting pay implications; follows-up to ensure accurate and complete payroll entries.
5. Coordinate with admin dept. of the school to ensure the accuracy of data and reports to HR Manager on a monthly basis.
6. Provide monthly late arrival and deduction reports to HR manager and seek necessary approval for salary calculation.
7. Responds to payroll related queries from employees and explains payroll and HR policies & procedures as required.
8. Develop and maintain spreadsheets and ad hoc reports to provide payroll information, as needed.
9. Coordinate with Finance for payroll related matters.
10. Prepare the statement and ensures payment of social security payment for all Kuwaiti & GCC nationals and sends it to Finance with requisite approvals within set timeline; ensure appropriate deductions are made.
11. Prepare salary certificates/memos, and develop & maintain reports as directed.
Government Relations Functions :
1. Updates employees’ government formality data in specified HR Files/ records.
2. Maintains all employees’ government formalities documentation in a proper and easily accessible filing system.
3. Prepares monthly/quarterly reports to monitor the progress of various government applications and updates the Manager-HR.
4. Works closely with Manager-HR and contributes to understanding and implementing Govt. Relations (HR) policies and procedures.
5. Processes work visas and visit visas.
6. Examines and reviews passports/ licenses and other relevant documents of new employees to check compliance with ministry requirements.
7. Ensures timely collection of civil id and results from the medical checkup, fingerprint, and health insurance/cards.
8. Follows up with the Govt. officials on the progress of the transactions and acts as necessary in case of delays and/or raises the issue to the HR manager.
9. Provides weekly updates, to the HR Manager on the status of activities related to Govt. Relations.
10. Responsible for record keeping system ensuring maintenance and updating of all employee data in the Mystro software.
11. Generates various HR based management reports including staff joining & Exit status, nationality status, staff salaries report etc.as required.
