Duties & Responsibilities included but not limited to:
Coordination with vendors
-Ensure correct and approved quantity and quality are arranged by vendor as agreed in PO.
-Ensure fastest delivery to different locations/stores based on promised time.
-If there are missing items/ less quality items, coordinate and ensure exact quality/nos of items are delivered.
-Communicate to vendors to submit PO, invoice and delivery note to Document coordinator - Purchase
Coordination with Operations/Stores:
-Ensure smooth delivery and receipts are entered in Oracle upon delivery.
-Upon return, ensure the remaining quantity are delivered on time rectifying the issues.
-Follow-up of the IN-OUT documents from the stores.
-Provide Previous purchase date to the buyers
Coordination with the stores on the stock availability & requisition.
Coordination for Overseas shipments
-Ensure suppliers are preparing the items upon the agreed timeframe.
-All the relevant documentation required is ensured and tracked - Invoice, COO, Packing list [all chamberized]
-Coordinate with forwarder/ CBW team to facilitate fastest release of shipments and coordinate with operations for delivery.
-Delegate with Finance team whenever insurance documentation is required.
Key Assets and PO Tracking documentation
-Keeping track of all LPOs
-Upon receipt of key asset, ensure asset inspection, delivery note etc. are collected and given to Document Coordinator-Purchase
