• Performs a variety of administrative or executive support tasks that are highly confidential.
• Receive, direct and relay telephone messages and fax messages
• Researches, compiles, assimilate, and prepare confidential and sensitive documents, and brief the executive regarding content.
• Reads and screens incoming correspondence and reports; makes preliminary assessment of the importance of materials and organizes documents; handles some matters personally and forwards appropriate materials to the executive and staff.
• Receives and screens incoming calls and visitors, determines which are priority matters, and alerts the executive accordingly. Makes referrals to appropriate staff or provides requested information.
• Composes letters and memoranda in response to inquiries.
• Acts as liaison between the executive, subordinates or others, by transmitting directives, instructions and assignments and following up on the status of assignments.
• Produces a variety of documents, charts, and graphs in final form.
• Updates executive on status of issues before scheduled meetings.
• Prepares agenda and collects materials for meetings, takes minutes and keeps records of proceedings.
• Reviews, proofreads, and edits documents prepared for the executive’s signature.
• Coordinates and facilitates the executive's calendar to arrange appointments, meetings, and conferences.
• Establishes and maintains various filing and records management systems.
• Schedule and manage all appointments and meetings to ensure they happen at the required time.
• Create, transcribe, and distribute meeting agendas and minutes.
• Maintenance of all office files and documents in good organization.
• Meet and greet clients and visitors and direct them to intended departments.
• Perform general clerical duties to include, but not limited to photocopying, faxing, mailing and filing.
• Maintain an adequate inventory of office supplies
