Admin Manager– Administration

  • Oversee and direct the administrative services of an organization.
  • Responsible for administrative staff and ensure the facilities are equipped with the supplies and services needed.
  • To manage the provision of high quality and sustainable administrative support and personal assistance to Operations managers and local staff to enable the smooth running of the delivery of strategic objectives.

Key Responsibilities & Accountabilities:

  •  Accomplishes staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.
  • creating a positive working environment in which equality and diversity are well-managed and staff can do their best
  • planning and allocating work, monitoring achievement of deadlines, and supporting staff as appropriate managing performance and development, mainly through regular supervision sessions and the Performance development review process  
  • To be responsible for the line-management of administrative staff, delegating tasks, offering training, peer support, coaching as required, including facilitating appropriate development, undertaking supervisions and appraisals, and handling poor performance issues.
  • Sharing information and knowledge and enabling cooperative working across teams.
  • Evaluating the effectiveness of the support provided by the Administrative team and updating processes and procedures accordingly
  • Developing systems to enable forward planning and cost savings, specifically around communication from Operational Delivery staff to MS Society branches and members
  • Planning and coordinating the implementation of corporate initiatives/decisions within Operations
  • Designing and implementing a process for staff to follow in order to request membership data.
  • Authorizing all staff data requests.
  • To work with the Heads of services within Operations to support internal communications and developing an effective two-way flow of information
  • Improves program and service quality by devising new applications; updating procedures; evaluating system results with users.
  • Achieves financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances.
  • Maintains continuity among corporate, division, and local work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Maintains professional and technical knowledge by attending educational workshops; benchmarking professional standards; reviewing professional publications; establishing personal networks
  • To manage support on current contract administration, new tenders and procurement
  • Manage and oversee appropriate file and record-management systems, including storage of organizational files, staff records and student records.

  • Demonstrated ability to develop, review and implement administrative systems to contribute to continuous improvement initiatives
  • Coordinate communication between Administrative staff, and Directors, to ensure regular, consistent and current advice about administrative processes and policies..
  • Deal with enquiries, providing information to assist all stakeholders and the general public
