1. Ensure vehicle's availability for rent is cleaned, have valid registration, insurance coverage, number plates, and in good conditions with Al Sayer sticker.
2. Ensure vehicle regular service is on due and be aware of the next service date, Kilometers. Ensure the next service sticker is stick properly.
3. Verify that the documents submitted by customers in case of repairs, accidents, breakdowns etc... meet the documentation requirements ( Police report, Copy of driving license,�) and co-ordinate with Insurance Companies for recovery of claims.
4. Prepare and update daily reports of vehicles movement and service details on VMS.
5. Follow up with Fleet Controller for the availability and delivery of vehicles at all RAC locations and customers.
6. Set sales call plan on day to day basis and submit the monthly turnover report to the Manager, RAC Sales for review and further action. Prepare Daily Call Sheets and monthly sales details.
7. Co-ordinate with the Customers and Sales Executives in order to obtain orders and maintain up-to-date records and databases of existing and prospective customers for business expansion.
8. Ensure vehicles are rented out in accordance with the terms and conditions of the Rental agreement and in compliance with company policy.
9. Ensure the return of the vehicle as per the Rental Agreement is followed by the customers at the return date. Obtain the prior agreement of the return location for extension of rentals and receive the appropriate deposit from the customer.
10. Prepare and submit sales forecast report on a periodical basis to ensure availability of stock to meet customer demands.
11. Follow up with delayed or defaulted customers for payments and transfer their case to RAC Management for legal action.
12. Prepare Rental invoices with due dates of charge.
13. Receive payment from the customer for missing parts and damage in case it is not covered by Insurance on return the vehicle.
14. Ensure payment is collected promptly and necessary documents are prepared and sent to the accounts department.
15. Preparation and submission of quotations to prospects.
16. Presentation of Car Rental package to prospects.
17. Ensure that rates offered are in line with RAC sales policy.
18. Ensure customers selected are in line with customer qualifying policy.
19. Beware of black listed customers and companies and inform the sales team.
20. Beware of specifications, availability of models with group Sales.
21. Ensure that RAC Agreements are stamped and signed prior to the delivery of the vehicles.
22. Ensure that necessary deposits/ bank guarantees are received from the customer prior to the delivery of the vehicles.
23. Co-ordinate with Sales Executive team to achieve maximum market share.
24. Co-ordinate with Fleet Controller to enhance the smooth delivery of vehicles to the customers.
25. Follow up outstanding payments pertaining to any customer for an amicable settlement.
