As a secretary, you will be responsible to follow up and assist the work flow of General Manager of HR and ensure that all the assisted tasks are done successfully on time.
- Review and edit documents prepared for GM’s signature.
- Maintain GM’s calendar to arrange appointments & meetings.
- Schedule, setup and coordinate appointments, meetings and conferences.
- Create and transcribe meeting Minutes (Board of Directors, committees)
- Prepare Agenda and collect materials for meetings.
- Setup accommodation, ticket, visa, transportation and perdiem for company visitors.
- Manage and coordinate travel arrangement for business trips, hotel arrangements and per diem as needed by chairman and Department Heads
- Coordinator with travel agencies for booking tickets.
- Maintain office files, logs, index, control records.
- Composes routine letters, memos, circulars and reports
- Provide all necessary forms, contracts and information on request.
- Meet and greet clients and visitors.
- Prepare and receive confidential and sensitive documents, and brief the management regarding contents.
- Receive and screen incoming calls and visitors, determine which are priority matters, and alert the management accordingly.
- Manage reporting authority’s office & provide assistance to Admin Dept.
- Receive and compile Management reports.
- Prepare and follow up with all related matters to General Assembly.
