Purchasing:
- Receive/analyze PRQs for material (item code)/services
- Select suppliers according nature of requested items/services
- Prepare the request for quotation and to suppliers
- Interact with requesters/suppliers on a day to day basis for inquiries/information/details related requested items/services
- Receive multiple quotations from suppliers
- Review received quotations to ensure that quotations include all required information (quantity, price, specifications, delivery terms and payment terms)
- Arrange samples and testing from new supplier and new offered products.
- Prepare the comparison sheet for received quotation and send it requesters for technical evaluation.
- Negotiate with suppliers based on technical evaluation of comparison sheet to get the best combination of quality, price, payment terms, delivery terms and delivery time, Negotiate/Confirm for terms of payment related for foreign supplies (CAD, L/C, Credit,)
- Negotiate/Confirm the delivery incoterms (CIF, CFR, Ex-works, FOB.)
- Prepare purchase orders, follow up the approval and send to suppliers.
- Deal with non-supplied, under orders, over orders and damaged goods.
- Receive invoices and ensure their handing over through 3-way match procedure to financial department for payment.
- Follow up with financial department to ensure payment released on time.
- Communicate with financial department and suppliers to solve any conflicts regarding supplier SOA (Statement of Account).
- Prepare and update on daily basis the follow up sheet to track the status of any purchase order
- Perform the Supplier evaluation using the supplier evaluation form.
- Supervise local purchaser
- Hold the Petty cash custody and ensure the continuous compensation of consumed amount to guarantee availability of cash.
Logistics:
- Track incoming inventory, delivery arrival time, and note actual arrival time
- Arrange the shipping for Ex-works items by send RFQs to forwarding & shipping companies.
- Receive forwarding & shipping quotations and prepare the compassion sheet
- Create PO for nominated shipping company.
- Prepare shipments follow up sheet and follow up with foreign suppliers/forwarders shipping status starting from ready for shipping till arrival of goods to warehouse
- Send to financial department notifications of documents arrival to bank to prepare payment.
- Prepare all documents required by financial department in case of advance payment and follow up till payment released
- Prepare the comparison sheet for received custom clearance quotations
- Hand over shipping documents to custom clearance agency to clear shipment
- Prepare other documents required by official authorities for custom clearance like Iqrar, EPA license and hand them over to clearance agency
- Follow up with clearance agency till arrival of goods to warehouse
- Receive shipping & custom clearance invoices and handover to finance for payment
- Support finance in allocating the shipping and costumes clearance costs to original purchase orders of goods
Supplier Management:
- Create and maintain good relationships with vendors and suppliers
- Organize and update database of suppliers
- Communicate with the OEM companies for spare parts and services if needed
- Search the international market for alternative manufactures for requested items with best combination of quality, price, payment terms, delivery terms and delivery time.
- Make research about new vendors to ensure reliability of dealing with them.
- Research and evaluate potential vendors and suppliers
- Prepare the supplier creation form for new suppliers using the supplier registration form along with supporting documents from supplier
