- Receive and process calls, enquiries and correspondences from all customers and respond to customers in an efficient and a timely manner.
- Prepare and distribute various documents such as: letters, memos, correspondence, agendas, notes, minutes of meetings etc.
- Perform photocopies, faxes and file important records / documents.
- Schedule and notify all concerned parties of meetings, appointments and venues on time.
- Undertake word processing tasks, as assigned.
- Arrange programs, events and conferences in coordination with other departments as needed.
- Operate and maintain office stationary and equipment (fax, photocopier, printer etc.)
- Perform supply requisitions for the office to replenish depleted stationary and other running needs of the office.
- Locate, assemble and maintain information required by the direct manager for various reports, briefings and conferences
- Arrange and manage travel plans in coordination with Administration Manager as requested, provide detailed itinerary reflecting appointments, names, contact details, addresses, locations as well as documents for all travel related meetings.
- Communicate and support the regional sales team by directing customers’ calls that represent potential sales opportunities to ensure the achievement of sales targets.
- Communicate with customers and suppliers to ensure that shipments are delivered accurately and on time, to ensure that the best quality of services is provided and to ensure that any issue related to services is resolved.
- Create sales orders and update shipment status and stocks in ERP system.
- Create and maintain sales records on Excel and ERP.
- Maintain all records related to product issue, stock tracking, stock reorder and sales closure on ERP.
- Organize and file all paperwork, documents and computer-based information in their assigned filling system
- Prepare quotations for ministries and private clients and compare suppliers’ quotations.
- Maintain adequate stock levels; ensure processing orders based on requirements and ensure stock replenishment as per established standards.
- Prepare the list of possible suppliers, pricing strategies and available products to provide extraordinary products and services.
- Communicate and arrange meetings with local and global suppliers and discuss company products requirements.
- Ensure accuracy in processing purchase orders including product costing, shipping instructions, etc to ensure high level of customer satisfaction.
