Job Summary
• Responsible for performing the clerical and administrative functions for any or all hub and station operational areas
Essential Functions
• Provides clerical support to various management and operational functions, including, but not limited to, photocopying, filing, faxing, emailing and answering the telephone
• Reviews, researches and/or enters data in various systems to support respective functional area
• Compiles data and provides various regular and adhoc reports to management for review and determination
• Assists management with Business audit activity by retrieving data and/or files for review
• Prioritizes workflow
• Enters settlement adjustments as directed by manager •
• Compiles required documentation to establish and maintain the company and the clients required files.
• Tracks and follows up the guards/management and clients' complaints
• Prepares weekly reports for management review
• Serves as the initial contact to receive inquiries or issues relating to the settlement, uniforms, etc., to route to management for appropriate resolution
• Collecting and following the guards’ issues and request and distracting to the concern department/ person.
• Preparation, collection and distribution of Guards investigation.
• Coordinating with IT, Accounts, PR, Admin and HR department for the operational requirements.
• Collecting QID, Health Card and Pay card from respective departments and segregating / distributing to the CCs.
• Assisting Operations Supervisor for the preparation of clearance sheet.
• Monitoring and attending the outgoing and incoming calls and solving the problems / diverting to the particular persons, if required.
• Documentation and filing of operations correspondence.
• All the operational correspondence; respond and reply the emails and inquiries.
• Preparation of GT Training, GT medical, plan, guard’s finger print and medical commission list.
• Distribution and coordination of Temporary duty/ events.
• Preparation of Guards’ transfer order from one BM to another BM/ transfer of accommodations.
• Coordinate with CCs and Proj. Managers for the Guards and Supervisors evaluation method.
• Based on the Head of operations instruction, distributing the new guards and back from leave guards.
• Arrange the security guards for new contract/ increasing contract and liaise with the concern CC/ Proj. Manager.
• Coordination with camp coordinator for the operational issues and backwards.
• Coordination of sick leave and medical issues with security individual and HR department.
• Plan and collection of leave application and follow up with BMs, OM and HR.
• Coordinating with Ladies in-charge.
• Dealing with the issues relates to the transportation disturbance and accommodation as well.
• Guiding the night operations controller and distributing the job task to him up on BMs and OM instructions.
• Arrange the security guards for new contract/ increasing contract and liaise with the concern CC/ Proj. Manager.
• Dissemination and coordination of new contract, contract increase, decreases and termination to the respective Contract Coordinators based on the contract department information.
