Job Purpose, Function & Scope
A Government Relationship Coordinator (GRC) ensures that all government related formalities of new joinee(s) and employee(s) are processed on time. Also, that all company’s license(s) are issued and renewed before the deadline, by assisting and following the instructions given by the Human Resource department. The Government Relationship Officer needs to stay updated with the Kuwait Labor Law and follow it rigorously.
Responsibilities:
- Participate in review meetings with Representatives for business requirement related to the Ministry
- Inform the operation manager about the update(s)/change(s) in the Local Labor Law
- Ensure that the company’s files are organized, updated when necessary and aligned accordingly with Ministry requirements
- Prepare reports on expiry date of all official documents (Passport, Residence Permit, Driving License, etc.) to submit to HD Department
- Responsible for all Government Relations Procedures (Change of Sponsorship, Issuance of new Residence’s, Renewal of Residence’s, Residence Transfers, processing Visa documents, Exit Reentry Visa, Final Exit Visa etc.)
- Arrange to Attest legal documents form chamber of commerce
- Process, follow-up & collect legal documents related to the Ministry of Labor and Immigration, Ministry of Social Affairs, Passport office, Airport, sea port, Municipality etc
- Develop excellent relations and maintains regular visits with all Government Offices
- Control the in & out of Custody of Passport and generate weekly Task Reports
- Ensure that the employment quota is always available at the Ministry
- Secure and updates all necessary employee documents (Passport, Work Permit, Civil ID, etc.)
- Coordinate and follows up with new & current employee(s) on required legal documentations,
- Coordinate with HD Department for oversea recruited candidate(s) document check-lists and procedures(s)
- Prepare, issue & communicate update(s)/confirmation on visit visa for employee(s) or business associate(s)
- Generate, Organize and maintain record keeping and clerical functions (e.g. scheduling, data inputting, transmitting, responding to written and verbal inquires, etc.) and supports the needs of the department
- Handle and disseminate information for stakeholder(s) through telephone, websites, mail services, and e-mail
- Review with the operation manager on objectives and guidelines to facilitate execution of task/projects with limited timeline(s)
- Maintain stakeholder(s), customer(s) and department information confidentiality
- Maintain dynamic work relationship with the team members & key departments
- Share Best practices
- Take initiatives for self-learning
- Suggest and implementing ideas that add value to the department & organization level
- Adhere to the Company’s corporate compliance (including health & safety policy and procedures) & Local Labor Law
- Be a lead Ambassador of Company at all times
