DEPARTMENT: Facilities
FUNCTION: Managerial oversight of the department and facility services provided to the college including direct supervision of department staff and contract management of external service providers.
PRIMARY TASKS:
1. Complete responsibility and oversight of day-to-day operations of the facilities department and services provided to the college ensuring that all services are effectively delivered and facility needs are met.
2. Formulate a plan to enable the College to achieve the department’s objectives (KPI).
3. Preparation and implementation of the annual budget.
4. Ensures standards are in place and department or function is running with effectiveness and efficiently.
5. Oversees the general performance of staff and plan work programs in order to achieve maximum benefit from available resources.
6. Exhibit strong leadership skills in motivating and directing critical business activities in a collaborative, team oriented culture.
7. Develop the capabilities of the department.
8. Comply with ACK policies and procedures.
9. Monitor and maintain all ACK buildings and landscaping, including the implementation of a maintenance management systems.
10. Lead and direct the Facilities management team in the supervision of all maintenance programs relating to the interior and exterior conditions and appearance and operations of the facilities services.
11. Manage annual maintenance contracts: HVAC, lifts, GRP water tanks, water pumps, sand filters, fire fighting systems, sliding doors, and signage.
12. Contract management of external service providers to ACK in the following areas: cleaning, landscaping, food outlets, building and assets insurance.
13. Execute all assigned renovation, upgrading, modifications, refurbishment, and alterations minor works (civil, interior design, electrical and mechanical) to the interior and exterior ACK facilities.
14. Monitor all ACK non-consumables assets on quarterly basis during individual fiscal year.

Specifying ACK’s design requirements;
Provision of concept design;
Tender documents;
Evaluation of bids;
AWARD of contract;
Preparing contracts agreements for both consultant and awarded contractors;
Supervise the construction works till complete handing over of building/ construction works;
Ensure that quality assurance is maintained and/ or observed by all contractors rendering their contractual services at ACK;
Verify payments and variation orders for both consultant and contractors;
17. Undertake other duties as required by the Vice President – Administrative Affairs.
LEVEL OF RESPONSIBILITY:
The is a senior management position responsible for ensuring that all ACK Campus Buildings and facilities are operational and fully maintained in accordance with required building standards and codes.
DIRECTION/SUPERVISION RECEIVED:
A high degree of autonomy with general direction to be provided by the Vice President– Administrative Affairs.
