1. Screens calls, visitors, and incoming mail; assists and directs the public and tenants to appropriate locations and/or staff; responds to complaints and requests for information.
2. Maintains tenants’ confidence and protects operations by keeping information confidential.
3. Produces well thought-out, professional memoranda, correspondence, emails, agreements, contracts, legal documents and other informational material.
4. Translates documents, press releases and other media content as required.
5. Attends meetings, takes minutes, follows up action points and ensures they are completed.
6. Develops, implements and interprets company policies and procedures.
7. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; verifying receipt of supplies.
8. Organizes and maintains files and records in paper and electronic form.
9. Maintains personnel records. Assists in screening and interviewing process.
10. Collects all tenants’ documentation such as insurance, commercial license, signage license and any other local documentation. Regularly follows up to ensure that this documentation is up to date.
11. Provides wide range of administrative support to all functions.
