Management:
• Prepares a proactive plan to develop fleet service needs and transportation services
• Directs all day-to-day transportation activities; to include reviewing replacement vehicles issued, vehicle repair status, overseeing driver scheduling, overseeing driver compliance and regulatory requirements
• Responsible to assist the Dispatch Manager and the team in the functional areas of the department
• Develops and maintains effective and efficient work processes and procedures complying with SOP
Operational Tasks:
• Ensures that all fleet service requests received are dispatched in a timely and cost effective manner
• Responsible for all dispatch activities such as daily dispatching, on call schedules
• Responsible for achieving targeted utilization of driver’s and replacement fleet
• Makes sure all replacement fleet is in excellent condition and ready for use
• Ensures that all replacement vehicle issuance is as per company guidelines
• Supervises and follows-up with the team on communication with customers on pickup and delivery times
• Oversees and ensures appropriate parking management is followed by the team
• Monitors and controls the usage of fuel for replacement and transportation services
• Follows-up on delivery of original vehicles to ensure the replacement fleet is received back to pool
• Sets and monitors productivity, service and safety targets for each route and driver
• Directs daily work activity and priorities for the team; load planning and execution
• Verifies attendance reports, timecards and overtime reports of dispatch staff
• Performs other duties as required and assigned
Reports and Documentation:
• Ensures compliance of relevant documentation processes, maintains accurate record keeping system and prepares relevant reports and data
• Verifies reports on customer complaints, analyses and ensures appropriate action based on the nature of the complaints
• Responsible for submitting daily inventory report for vehicles at parking yards
• Verifies weekly fleet and manpower and fuel card utilization reports before submitting to the Dispatch Manager, with recommendations for improvement
• Monitors daily reports for replacement vehicles availability, reconditioning, readiness and utilization
Customer Focus:
• Attends customer queries, complaints and ensures necessary corrective actions are taken to prevent the occurrence of the same
• Facilitates the client decision making process by up selling products as needed
• Conducts customer visits with key contact personnel at each sector and makes sure to improve the level of satisfaction
• Responsible for confirming all customer requirements are met and delivered on time
Team Focus and development:
• Ensures team members are trained and follows safe work practices
• Coaches and develops them to maintain clear expectations of policies and procedures
• Oversees staff within their work area to ensure they are performing their duties in accordance within company standards
Safety, Health and Security:
• Ensures that all vehicles both light and heavy are maintained to daily/ weekly/ annual schedules
• Monitors safety and regulatory compliance to ensure compliance with safety policies and OSHA regulations
• Oversees and monitors to ensure that all staff including drivers are groomed in professional appearance following the cleanliness and personal hygiene standards, and as per the company policy
