- Organize and provide documents, reports and information to internal departments and external clients in a useful and well-organized manner
- Maintain important office files and folders while maintaining a database of key stakeholders’ records
- Handle and screen telephone calls, routine mails and reallocate as required.
- Schedule & arrange meetings and conferences
- Manage front office operations and train & supervise casual and clerical staff
- Order and maintain office supplies & equipment
- Liaise with local authorities and vendors
- Request quotation from local & international vendors
- Research local market for competitive prices
- Prepare services proposals for potential clients
- Prepare contracts for clients & suppliers
- Initiate purchase requisitions
- Request shipping quotation, initiate them and coordinate between vendors & shipping agents to make sure the material is delivered as scheduled
- Managing recruitment process that includes developing job descriptions, preparing job adverts, checking application forms, shortlisting applicants, scheduling interviews
- Monitor staff attendance, investigate and understand staff absences
- Maintain weekly schedules for employees
- Undertake and assist in the recording and processing of invoices, receipts and payments as required and instructed
- Administer the petty cash system and ensure appropriate record keeping
- Process client orders, invoices and payments
- All other accounts related duties
